Maintain Maintenance Crew

This task allows a user who may not have access to other administrative tasks on the System Administration > Employees tab to change phone numbers, communities that a person on the maintenance crew has access to, hourly rates, skills and where time is expensed to.  Only employees with the Maintenance Crew flag will be available in this task to make these changes to.

To maintain an employee from a maintenance crew, follow these steps:

1.         Go to System Administration > Employees Tab.

2.         Go to Tasks > Maintain Maintenance Crew.

3.         Maintain the following information each employee flagged as being on the Maintenance Crew.  If make changes to more than one member of the Maintenance Crew, you will need to click the Save icon before clicking from one employee to another.

        Phone Numbers

        Phone Types are added and maintained at System Administration > Maintain Lookup Tables - Phone Type.

        To add additional phone numbers, press the Tab key through the end of the phone number row, and then another row will be added.

        Set one phone number as the primary.

        Default Hourly Rate—The employee's default hourly rate to be used on a Work Order or Inspection.

        Time Expensed To—Select one of the following:

        Maintenance Company—To have the employee's time included on a Work Order or Inspection expensed to the Maintenance Company, which are set up in Vendor Detail > Vendor Locations. This will also bill the applicable community from Maintenance Company Detail.

        Community—To have the employee's time included on a Work Order or Inspection for the community.

        Select the skills the maintenance crew employee may and the default hourly rate.

        Skills are added and maintained at System Administration > Maintenance Setup - Skill.

        When scheduling a Work Order or Inspection, the skills you select here will help to match employees with the skills necessary to complete the work.

4.         Select the communities, management companies, and/or maintenance companies to which this employee should have access.

5.         Click Finished.
