This is a task wizard that guides you through several accounting tasks you perform for a Move-Out. The task is available for a household that is currently not occupying a unit or has moved into a new unit and still has a deposit on hand from the old unit. The task will only prepare deposit refunds for the deposits on hand for units that the household is not currently in.
For Bostonpost Financials, MRI Web Service and QuickBooks customers, these refund tasks will also create Accounts Payable Invoices for tenants directly to your Accounts Payable System. To turn on this functionality, you need to "Enable Tenant Payable Interface" at System Administration > Accounting Setup > Export Information Setup.
For Bostonpost Financials and QuickBooks customers, you can also enable New Vendors to be created in Accounts Payable automatically for tenants that are not in Accounts Payable. They will be added through these refund tasks. This setting is made at System Administration > Maintain Lookup Tables - Business Constants.
The first tab of the task will indicate which unit that the task is being performed for.
This task wizard will only appear after you have confirmed the Move-Out for a household.

The wizard includes the following steps:
The first step displays the tenants name and the previous unit and community that they lived in.
Add Interest on Deposit You may skip this step by clicking Next
Add New Receivables You may skip this step by clicking Next
After clicking Next to this step, you can click back onto the Add New Receivables tab to add more receivables. Keep clicking back onto this tab until you have added all the receivables that are needed.
Forfeit Deposits You may skip this step by clicking Next
Do not use this option if deposit is to be applied against tenant charges. Use only if no refund is due to the tenant and they have no outstanding charges.
This step of the task will not be available to users who do not have access to the Forfeit Deposit task on the Household Detail > Accounting > Deposits tab. Access is maintained at System Administration > Define Access.
Apply Credits You may skip this step by clicking Next
If the user performing this task does not have access to the Refund Selected Receivables task (System Administration > Define Access), this step will not appear.
As you complete each step of the wizard your work will be saved, so if you need to back out of the wizard you can come back to it and continue where you left off.
If you make a mistake or click Next too soon, do not panic, you can make corrections after you complete the wizard by using an individual task on the appropriate tab. A. No, you can complete the tasks individually on the appropriate tabs.
