This task is used to bill a one time charge or credit to the tenant for a receivable type other than Rent.  If you add a charge you will then be able to receive a payment and apply it against the Open Item or use the Apply Credits task to apply an existing Unapplied Payment to the charge.  If you add a credit, such as a Rent Concession, you will then be able to apply that credit to a charge Open Item.

 

If a household rents an apartment and one or more amenities from the community, you can not add an amenity receivable with this task.  This task will only allows you to add a receivable related to the apartment.  To add a receivable related to the amenity, use the Add New Receivables task from the Accounting Detail > General tab.

 

If the household is a non-resident who only rents an amenity, you can use this task to add a receivable related to that amenity.

 

Adding a New Receivable will create a "Receivable Adjustment" in Event History.

To Add a New Receivable:

Community: The system will pre-fill this field with the household's community.

Apt. Nbr: The system will pre-fill this field with the household's apartment number.

Enter the following information:

  1. Charge Date:  The system will pre-fill this field with the current date, however you may select any date prior by entering the date or selecting it from the drop-down calendar.  You can enter a future charge date, which allows you to set up a receivable balance for next month to show up on a tenant bill, for example.

  2. Receivable Type: Click on the drop-down list to select a Receivable Type for your charge.  When you have selected a Receivable Type the GL accounts that are set-up for it will be displayed beneath the Amount box on the screen.

  3. Amount: Enter the amount of the charge or credit. If you have selected a receivable type that is a credit charge type, such as Rent Concession, enter the amount as positive, not negative.  The system will recognize that this is a credit balance receivable type and post it as a credit.

  4. Note: You may enter a note of explanation.  This field is optional.

  5. Click Finished.

An Overall Status window will pop up with a Passed or Failed message and display any GL entries that were created.

If it failed you may need to make a correction or contact Bostonpost Client Support at myMRI or contact a Client Support Analyst directly at (877) 579-8896 for assistance.

If it passed click Close.

Expected Result:

The Receivable Adjustment event will appear in the Event History and the receivable balance in Open Items.
