For Public Housing communities you will need to send electronic files through the PIC web site. This task takes you through building that file.
The certifications listed in the task will be for all authorized communities for the user.
Certifications must be signed.
Occupancy and Compliance Detail PIC Tasks Build PIC File
Enter the date of the Transmission (which defaults to first of current month)
Click Next.
You will see a list of all Public Housing certifications that have been created but not yet transmitted.
Select one, more or all certifications listed.
Unsigned certifications are listed, but you cannot select to include them in the file until they have been signed.
To Maintain the Signed Dates on a certification, you will need to leave this task and navigate to the Occupancy and Compliance Detail > General tab or the Household Detail > Transactions tab to add the signed dates to the certification. Once you have signed the certification, you can use the back button to come right back to the Build PIC File task.
For Non-Move to Work (MTW) transmissions, click Next to build the transmission file and run the HUD 50058 Validator. For Move to Work (MTW) transmissions, because the file layout is different, the Validator isn't run.
Property Manager will check to see if you have Java software for Windows installed on your PC. If you don't you will get the message "The HUD 50058 Validator is a Java program, but it does not appear that you have Java installed on your PC. If you would like to run the validator, click OK and follow the next instructions for installing the latest Java software for Windows.
Then Property Manager will also check to see if you have the HUD 50058 Validator installed, if you don't go to http://update.bostonpost.com and download and run the Property Manager Full Setup.
The Validation Results will be displayed. Click OK to continue.
If Validation Fails, the File Status will be updated with "validation error".
If Validation fails, you will only be able to click Previous, you will not be able to continue with the task.
You can check to save file anyway and then click Finished to exit the task.
Review the file just created.
Choose destination email address (editable) or web transmission.
If email, the file will be sent as an email attachment.
If web transmission, the file will be written to your computer's hard drive to be ready via upload.
Click Next.
If Email was selected, enter the email address of the recipient and add text/additional information for the email recipient.
If web transmission was selected, log onto the PIC web site (if not sending via email).
Copy the File Name (including the path) into the click into PIC's file browse.
The complete path and file name is included in the "Instructions On Transmitting..." title bar at the top of the window.
This file path and name has been copied into your clipboard when you clicked Next from the last step. When you get to PIC's file browse, just use [Ctrl]+V to paste it without having to retype it on PIC's web site.
Click Next once you have completed the process of transmitting the file on PIC's web site.
Select Yes or No for "Was the file transmitted successfully?"
Enter the Ticket Number if known. If you don't have the Ticket Number because the file was emailed and not uploaded, you may use the Maintain Ticket Nbr for Selected File task to record the number when you receive it.
Click Finished.
If you Selected No, you will get the message "File Status has not updated."
Click Finished.
