Searching for Reports

To search for a report, follow these steps:

1.         Enter a word or phrase in the Search Text field.

2.         Narrow your search by selecting applicable options:

        Case Sensitive—Select to only find reports that match the case of the entered text.

        Groups—Select to only find results within the groups.

        Reports—Select to only find results within the reports.

        Descriptions—Select to only find results within the descriptions.

3.         Click Find. The first report meeting your search criteria will be highlighted. When a report is highlighted, the description of the report's functionality and names of included columns appear, along with the last user who ran the report and the date of the last run.

4.         To select the next report meeting your criteria, click Find again.

5.         To open the report, click the title, or highlight the report and then click Open Selected Report.

Defining Report Parameters

Report parameters allow you to determine how you want a report to run. Parameters vary based on the report.

To define the parameters of a report, follow these steps:

1.         Open a report. The Maintain Report Parameters dialog box appears.

2.         Select a parameter set, if applicable. The parameter fields automatically populate.

3.         Modify or select the parameters, if applicable.

Example

For example, you can set the following parameters for the All Units Report:

        Filter By—Select what filter to run a report by, such as rental agent or management office. Community is selected by default.

        Filter Item—Select whether to include every entry associated with the previous filter, or only a particular one. If you filter by rental agent, you can select whether to include all rental agents or only a certain one.

        Amenities Mode—Select whether to include only amenities or to exclude amenities.

 

4.         Click Save to save the parameters over an existing parameter set, or click Save As to create a new parameter set.

5.         Click OK.

Exporting and Printing Reports

Once the report has been run, you can export or print the report.

To export a report, follow these steps:

1.         Open a report and define the parameters.

2.         Click Export Report .

3.         Select the export format.

4.         Select the destination.

5.         Click OK.

To print a report, follow these steps:

1.         Open a report and define its parameters.

2.         Click Print Report .

3.         Select a printer.

4.         Click Print.
