In this task, you can specify your employees' time off, beginning with the date selected on the calendar when you initiate this task. An employee's time off is displayed on the Employee Tracking tab and in the Schedule To-Do List Activity on the Maintenance Detail > General tab.
Employee Calendar Scheduled Time Off Maintain Calendar for Selected Date
Select the starting date on the Scheduled Time Off tab of the Employee Calendar and start the Maintain Calendar for Selected Date task.
Choose the Type of Time Off to Schedule.
Select either Vacation or Other.
You can schedule for both Vacation and Other together in the same task, just select a Type of Time Off, choose the Kind of Time to schedule, highlight those employees and click the Add >> button. Repeat to schedule the second Type of Time Off.
Choose the Kind of Time Off to Schedule.
Select either All Day or Specific Block(s) to be scheduled.
When Specific Block(s) is selected, you will then select which Block(s) to schedule.
The number of Blocks is defined at System Administration > Maintain Lookup Tables - Business Constants. You can choose between 1, 2 or 4 Appointment Blocks per day.
The descriptions for each available Appointment Block is defined at System Administration > Maintenance Setup - Appointment Blocks. The Short Description for each Appointment Block is what is displayed in this task.
You can schedule both All Day or Specific Block(s) in the same task, just select the Kind of Time, choose the Type of Time, highlight those employees and click the Add >> button. Repeat to schedule the other Type of Time.
Choose Staff Members for whom you want to schedule time off for.
Click one or more employee.
If you have highlighted an employee in error, click that person again to deselect them.
Click the Add >> button to move the selected employees into the Scheduled Time Off data window.
If an employee was added in error, select that employee and click the << Remove button.
If you had selected All Day under Choose Time for any of the employees, then specify the number of days each selected employee is to be off starting with the date selected when the task was started.
If you had selected Specify Block(s) under Choose Time for any of the employees, then those employees will. be listed with the Appointment Blocks specified.
When scheduling for Specific Blocks, you can only schedule for the date selected when the task was started (one day at a time).
After Scheduling all the Time Off you wish to schedule, click Finished.
The Scheduled Time Off Calendar will be updated for your changes.
The employee's time off will show on the Employee Tracking tab and in the Schedule To-Do List Activity on the Maintenance Detail > General tab.
