What feedback can I get about my transmitted HAP Request?

If you transmit directly to HUD, or to some CAs, you will receive TRACS responses regarding your transmission as defined in the MAT Users Guide.  These responses can be viewed through Property Manager from the Occupancy & Compliance Detail/TRACS/HAP Request tab, with the Review All TRACS responses task.  Click on the word Expand to see the details of the message. Any fatal errors here (colored in red) regarding a cert transmitted with your HAP indicate that the HAP you sent will need to be revised. 

If your HAP is revised, your CA should send you revised HAP subsidy amounts with an explanation of which units regular amount or adjustment amounts were changed and why.

If the CA needs you to resubmit the entire voucher and detail in order to process your HAP request, from the Occupancy & Compliance Detail/TRACS/HAP Request tab, select the HAP request and choose the Reject Selected Item task.  Resolve certification issues and build a New HAP Request.

More often, either:

  1. The CA sends you a revised HAP with an explanation of changes not expected.  You must change Property Manager to match the CA’s revised HAP.

  2. The CA is expecting you to submit more detail to help the CA match to your HAP

Discuss the differences with your CA to determine whether your CA is expecting you to correct the discrepancies on this HAP or on your next month’s HAP.
